CallRail

Add CallRail to your product for your customers, and give your AI agents governed access to it.

CallRail answers a question that web analytics cannot: which advert, keyword or landing page produced the phone call. It does that by handing out tracking numbers and swapping them into a page as a visitor arrives, so every call arrives carrying its own attribution, and it records and transcribes the conversation that follows. For an embedded integration that makes a call a rich object rather than a log line. You get the caller, the tracking number and the campaign behind it, the duration and outcome, the recording and the transcript, and whatever tags the team applies afterwards. Two things are worth respecting: the recording and transcript appear a little after the call ends rather than at the same moment, so a webhook on completion is the right trigger, and call recording is regulated differently in different places, which is the customer's setting to make and not yours. fastn keeps each account's credentials per tenant.

In your product

Embedded for your customers. Per-tenant auth, no per-customer code, maintained by fastn.

Let each customer connect their own CallRail account so every tracked call appears beside the record it concerns.

Attach the source, campaign and keyword that produced a call, so a phone enquiry is attributed as well as a form fill.

Pull the recording and transcript once processing finishes, and show them next to the customer or deal they belong to.

React when a first-time caller comes in, so a follow-up is created before anybody has to notice the missed call.

For your AI agents

Governed, audited access for the agents you build, through the MCP server.

An agent reads a call transcript and summarises what the caller asked for and what was promised.

An agent reports which campaigns produced calls this week and which of those calls went unanswered.

An agent tags a call and writes a short outcome note within scoped permissions, with the action recorded.

Example prompt

Which paid keywords produced phone calls over five minutes last week, and what did the callers actually ask about?

Set up CallRail in 4 steps

  1. 01Enable the CallRail connector in your fastn dashboard.
  2. 02Have each customer authorise their own CallRail account so calls and recordings stay under their permissions.
  3. 03Choose the trackers your product follows, map the call fields you store, then subscribe to call completion events.
  4. 04Call it from your product and expose the same governed connection to your agents.

Why teams use the CallRail integration

What you get by embedding it with fastn instead of building it yourself.

  • Ship a CallRail integration without building it. Your customers connect their own CallRail account inside your product and work their meetings, calls and participants there, with no per-customer code on your side.
  • Handle the part that actually costs time: a call or a meeting is a real-time event, so a missed join or a dropped recording cannot be retried later. fastn owns the auth, token refresh, rate limits, pagination and breaking-change fixes, so a CallRail update is not your on-call problem.
  • One integration serves your product and your agents. The same governed CallRail connection powers in-product features and gives AI agents scoped, audited access, so you let your product act on the conversations that happen by voice and video, not just the written ones without wiring it twice.

CallRail integration FAQ

How do I add a CallRail integration to my product?

Enable the CallRail connector in your fastn dashboard, then let each customer authenticate their own CallRail account. fastn handles the OAuth flow, token storage and refresh per tenant, so there is no CallRail client code in your app and no per-customer branch in your codebase. Setup is 4 steps.

Do my customers each connect their own CallRail account?

Yes. Every connection is scoped to the individual customer, so each authorises their own CallRail account and only ever sees their own meetings, calls and participants. That per-tenant isolation is the point of an embedded integration: you support the long tail of customer setups without maintaining an integration per customer.

Can AI agents use this CallRail integration?

Yes. The same connection is exposed to your agents through the fastn MCP gateway, with permissions scoped per tenant and every call audited. An agent reads a call transcript and summarises what the caller asked for and what was promised.

Who maintains the CallRail integration?

fastn does. When CallRail changes an endpoint, deprecates a field or alters its auth, the fix lands in the connector rather than in your backlog, and your customers' connections keep working.

Can my product schedule or act on CallRail conversations automatically?

Yes. Within the permissions each customer grants, your product can create a meeting, place or route a call, add participants, or react when one ends, all inside their own CallRail account rather than through a shared one.

Can I get recordings, transcripts and outcomes back from CallRail?

Yes, scoped per tenant and audited. This matters more here than in most integrations, because the substance of a call usually exists only in its recording or transcript, so a read that fails silently loses the thing you wanted.

What can I build with the CallRail integration?

A common starting point: let each customer connect their own CallRail account so every tracked call appears beside the record it concerns. Teams also use it for the other use cases listed above, and expose it to agents for governed reads and writes.

How much does the CallRail integration cost?

It is included. Pricing is based on connected accounts, not on how many connectors you enable, so adding CallRail does not change your per-connector cost. You can start free with 3 connected accounts.
